When can a digital documentation service enter the export season?
A Seasonal Commitment Window Study in Central Chile
THE BUSINESS DECISION A provider of digital phytosanitary documentation services wanted to approach berry exporters and packers before seasonal workflows became difficult to change. Export operations, quality, compliance, logistics, finance and commercial teams each carried different risks. The provider needed to identify when an evaluation could begin and what had to be proven before seasonal commitment.

Why Central Chile mattered
The buying decision was tied to the local export calendar, packhouse operations, logistics coordination, language and destination-specific documentation demands. Fieldwork therefore focused on berry-export organisations in Central Chile and was available in Spanish. Findings were bounded to the recruited organisations and their stated export contexts.

Why interviews were required
Seasonal commitment depended on operational capacity, exception exposure and trust between functions. Individual interviews allowed participants to describe recent documentation failures, commercial consequences and internal vetoes. The design also used a shipment trace so responses were anchored in one real process rather than broad attitudes toward digitisation.

Shipment trace
Before the interview, each participant selected one recent berry shipment and noted the documents, data contributors, corrections, approvals and time-sensitive exceptions they could discuss. Commercially sensitive identifiers were not collected. The trace anchored the interview in a real workflow while preserving confidentiality.
WHY THE DESIGN REMAINED QUALITATIVE The research question concerned seasonal access and cross-functional commitment within a specialised regional population. A broad survey would have created superficial percentages without revealing when an organisation could safely change the process.
